Andover Newton Coordinator of Visitor Relations

Reports to: Director of Recruitment and Admission
Scope of Work: Responsible for ensuring the quality of all campus visits and providing operational support to the Office of Recruitment and Admission.

Responsibilities:
  • Greets campus visitors, answers questions, and serves as liaison between campus visitors and the Office of Recruitment and Admission, the Office of Institutional Advancement, the Business Office and the President’s Office.
  • Responds promptly to phone and email inquiries. Directs phone calls to appropriate administrative offices.
  • Works closely with the Director of Admission and the Vice President of Institutional Advancement to ensure that the quality of service, tone of communications, and maintenance of physical space is consistent with the school’s brand.
  • Represents the Office of Recruitment and Admission at on-campus and off-campus prospective student events as needed.
  • Serves as liaison between the Office of Recruitment and Admission, other administrative offices, and the faculty for the purposes of scheduling in-person meetings and class attendance for prospective students.
  • Manages prospect, applicant and admitted student files and communication plans using campus-based administrative software as well as Microsoft Word and Microsoft Excel. Includes the management of online applications, data entry, generation of letters and emails and the organization of prospect and applicant files and supporting documents.
  • Tracks all merit-based scholarships and coordinates with financial aid office on the awarding and communication of awards.
  • Coordinates departmental tasks such as production of mailings, copies, ordering and maintaining office supplies, and maintenance of budget records.

Qualifications:

Outstanding interpersonal skills. Capacity to handle confidential materials with discretion and sensitivity. Strong communication and receptionist skills. Must be able to handle difficult phone calls with tact and diplomacy. Enjoys meeting new people and has an ability to make them feel comfortable. Ability to work under pressure. Excellent organization and problem-solving skills. Ability to exercise initiative, set priorities, and work independently. Bachelor’s Degree strongly preferred. Data entry experience a plus, but not required. Willingness to learn college-wide computer network system. Sense of humor.
